Barnes Coaches of Swindon has reported improvements in compliance control and overall efficiency since it installed TruTac software management tools.

Developed in partnership with the Confederation of Passenger Transport (CPT), TruTac’s CPT Tacho Analysis package includes web-based digital and analogue tachograph analysis. It supports both EU and domestic drivers’ hours rules and is designed specifically for PSV drivers.

The TruTac cloud-based system used by Barnes Coaches also includes CPT Daily Checks, CPT Licence Checks and TruTime. The combination of modular systems provides it with instant access to clear and concise compliance data. That includes manager and driver dashboards with KPI reporting.

For driver debriefing, the infringement debrief module can be linked to training and disciplinary issues. Drivers can log in to their own area of the system via an app or a PC to review their duties, daily rest status, earliest next duty start time and compliance data.

The CPT Daily Checks module has also proved useful, says Director Matt Barnes. It allows every vehicle to be monitored for defects. Remedial action can then be taken quickly while keeping downtime to a minimum.

“Before we introduced the software it was not always possible to accurately record and cross-check defect observations in a way that provided a solid audit trail and ongoing input from the engineering department to advise regarding any necessary action,” he adds.

The Daily Checks module uses CPT-approved templates. Barnes’ drivers can undertake their first user inspection via a mobile app. They then submit an instant report, including photos and detailed notes, to the Engineering Manager for immediate review.

Adds Matt: “If a driver gets stopped by DVSA, they can provide an instant audit trail to verify vehicle checks and procedures. That saves time on the road. It also cuts time in the office.”

CPT Daily Checks is compliant with government guidelines regarding social distancing and the use of PPE. It is also in line with all regulations and DVSA guidance on inspections and maintenance records for compliance control. Templates can also be added for checklists of PPE, signage and any other items that the operator requires.

Barnes Coaches also uses the CPT Licence Checks module. It allows the operator to make instant online verification and validity checks, to look for endorsements and to check entitlement to drive.

Lastly, TruTime is a time, attendance and HR clocking system. It analyses and manages attendance using digital tachograph driver cards or employee smart cards and provides clocked time versus tachograph data.
